Key Tasks

Establish close working relationships with the team, editorial and advertising teams to accomplish best ad positioning that is right for your customers and for your editorial requirements.

Liaise with Sales Managers, advertising teams and Business Analysts to establish issue sizes, ad page positions and accurate forecasting.

Liaise with Production Editors and Ad Production to ensure all ads run within required positions
Maintain excellent relationships with sales teams.
Ensure sales team work to deadlines.

Ensure options are managed and sales are aware of the availability for each platform
Keep Editorial Production Managers updated on new flatplans.
Be flexible and willing to adopt and champion all new systems that help improve optioning and flat planning.
Assist in all team admin duties: mail shots, presentation preparation, voucher copy requests, back issue management etc
Handle inbound enquiries and forward to relevant sales team member.

Be willing to assist with any other sales operations responsibilities which are agreed.
The role itself will encompass:

Administrative support for the Media Department and liaison with the wider company.

Ownership of data in internal software and ensuring data is input and billed to clients on time.
Liaison with New York office to develop new processes and learn new systems.
Preparing profit reports and presenting them to the media team in the weekly budget meetings.

Helping all departments with invoice queries which may involve liaising with clients, media owners and media agencies.
Ensure the Media Dept runs smoothly on a day to day basis.
Reporting of Media figures to the Managing Director.
Keeping up to date with the current media market and issues affecting it.

Reading and summarisingTrade presson a weekly basis and reporting back any lead to media team.
Once a level of capability has been established, there will be an opportunity to take up responsibility on certain accounts as directed by a line manager
Performing PA duties for the Head of Media - diary management, meeting preparation, travel arrangements, supporting their workload when needed.
