Description
The Human Resources Coordinator contributes to the employee experience and organizational culture by providing support in day-to-day people operations activities and the HR team. This role support includes (not limited to) end-to-end employee life cycle process including onboarding, employee changes, offboarding, record-keeping in and outside HRIS, compliance, benefit enrollment. This position operates in a rapidly-paced environment, has ongoing multiple priorities, and handles confidential information.
ESSENTIAL JOB FUNCTIONS
General Human Resources Operations
- Supports end-to-end employee life cycle process including onboarding, internal employee changes and offboarding processes.
- Provides ongoing management of HRIS and continues to optimize use of the system. Manages employees data by entering and organizing in the system, ensuring accurate record keeping, processing of employee changes and people-related actions, vaccination record management, educating on employee self-service, and generating reports.
- Works closely with the Accounting and HR team to ensure employee changes are processed accurately for bi-weekly payroll and completing ongoing audits for compliance with applicable laws and regulations.
- Administers recognition programs including length of service awards and organizational values award, including purchasing awards
- Support people programs and processes through completing verification of employment, unemployment claims, workers compensation claims, compliance reporting and other compliance or regulation needs, maintain employee handbook.
- Supports HR team department with project management and administrative requests such as reporting, organizational chart maintenance, document content review and creation, invoice review and coding, supplies and purchases, file management, scheduling, and project planning, and other tasks as requested
- Provides support for people-related program administration including (not limited to) benefits enrollment, leave administration, annual compensation planning process, job description review and maintenance, safety program, employee handbook, .
- Responds to inquiries regarding HR policies, processes and programs including benefits, leaves of absences, retirement, safety, compliance and other questions from employees and leaders. Responsible for maintaining the HR email inbox.
Recruitment and Onboarding
- Provides recruitment support and assistance as needed throughout the hiring process as requested by Recruiter including assistance with creating and maintaining job postings, candidate application review, resume screening, and pre-screen interviews. May provide support with scheduling panel interview.
- Completes pre-boarding activities including processing background, motor vehicle record, and reference checks, collecting new hire documentation and completing new hire paperwork. May complete onboarding logistics, plan for first day activities and support for new hire orientation.
- Conducts new hire orientation for HR topics including (not limited to) benefits and HRIS.
Supervision
- This position has no formal supervisory responsibility. The position indirectly influences others.
Qualifications
KNOWLEDGE, SKILLS, ABILITIES
- Experience with Human Resource Information Systems (HRIS)
- Experience in Human Resources, or Recruiting preferred
- High ability to operate with optimal discretion and maintain confidentiality
- Strong organizational and time management skills, able to complete work with competing priorities
- Able to build relationships with strong interpersonal skills, acts with diplomacy and collaboration with employees at all levels
- Ability to conduct research, gather information and propose solutions
- Self-motivated with proactive approach
- Excellent written and verbal skills including presentation skills as needed
- Strong attention to detail and good follow through
- Ability to work successfully as a team member and independently
- Advanced knowledge of personal computers with at least intermediate and preferably advanced skills in Outlook, Word, Excel, MS Project, PowerPoint and other comparable software programs

EDUCATION, EXPERIENCE & JOB REQUIREMENTS
- A Bachelor's degree in human resources or related is preferred.
- Relevant work experience can be considered and substituted for academic requirements.
- A minimum of 1-year experience in a human resources or administrative support position in an office environment.
